Among the various industries we recruit for, we are exclusively retained to find an Executive Assistant, on behalf of a client. 

About the Role

The Executive Assistant will play a crucial role in providing high-level administrative and operational support to the Executive Director. This position requires someone who is organized, proactive, and able to manage multiple tasks efficiently in a fast-paced, mission-driven environment. The ideal candidate will be a strong communicator, able to handle confidential information, and represent the organization professionally in all interactions.

Responsibilities

  • Serve as the main point of contact between the Executive Director and internal/external stakeholders
  • Prepare, draft, and edit various documents, reports, presentations, and correspondence
  • Manage email communication, prioritize tasks, and follow up on pending matters to ensure smooth operations
  • Organize and maintain filing systems, records, and confidential documents
  • Coordinate special projects, events, and initiatives, ensuring they are aligned with the foundation’s goals and timelines
  • Conduct research and provide relevant insights to assist in decision-making processes
  • Handle sensitive information with discretion and maintain confidentiality at all times
  • Provide general office support and perform other administrative duties as needed to support the foundation’s operations

Requirements

  • A Bachelor’s degree in Business Administration, Communications, or a related field is considered a plus, but not required
  • Proven experience as an Executive Assistant or in a similar role, ideally within a non-profit or charitable organization
  • Excellent organizational and time-management skills, with the ability to manage multiple tasks and priorities
  • Strong written and verbal communication skills in both Greek and English
  • Proficiency in MS Office Suite 
  • A proactive, solution-oriented mindset with strong problem-solving abilities
  • Ability to work both independently and collaboratively within a team
  • Professionalism, discretion, and the ability to handle confidential information responsibly
  • Flexibility and adaptability to changing demands in a dynamic work environment
